Client Services Representative

Position: Full Time | Job Type: In-Person | Pay: $19.00 - $24.00 per hour

We are looking for an outgoing, team oriented, and committed client service representative who wants to be a part of something larger than themselves. This position is the front line to our clinic and is responsible for setting the tone for every patient, gym member and visitor. A cheerful and welcoming attitude, especially during the clinic’s high-volume times is a must!

Requirements
  • Post-high school graduate.
  • Previous customer service experience.
  • Previous scheduling experience (preferred but not required).
  • Passion for the profession and the people it serves.

Responsibilities
  • Warmly greet all patients, wellness gym members and visitors to the clinic in person and over the phone.
  • Assist patients with intake paperwork and scheduling.
  • Paper and electronic filing into patient charts within the EMR (Electronic Medical Record).
  • Verify patient’s insurance eligibility/benefits and communicate with patients to ensure they understand their benefits.
  • Written and verbal communication in EMR, through email and internal memos to ensure proper flow of information throughout the clinic and between the clinic and its referral sources.
  • Frequent schedule management to monitor and fill any openings, cancellations, or no-shows while keeping in communication with the physical therapists (PTs) about updates to the schedule.
  • Receive payments for therapy supplies, gym memberships or patient deductibles and enter them into the WebPT EMR or gym software.
  • Receive, track, record and follow up on incoming referrals.
  • Communicate with PT’s and Client Service Manager daily about needs, challenges etc.
Additional Skills
  • Experience with EMR software (preferred).
  • Experience with Microsoft Office products Word, Excel and Outlook (preferred).
  • Experience with insurance eligibility/benefits verification. (preferred).
  • Work with PTs to ensure that the patient’s plans of care are successful and complete.
  • Excellent communication skills (Required).
Education
  • High School Diploma

This position and its roles are dynamic and will evolve as the business grows. This may include cross training into aspects of other positions to help establish overall depth and business flexibility. Optimum will provide relevant training as it becomes necessary and appropriate for the success of the position.
